DOCUMENT CONTROLLER

The ideal candidate will be an essential member of our Document Control group which supports the entire Projects Team network within Lanmark. We are looking for a new graduate from a records management course or 1 years’ experience in a Document Control position. The Document Control position will report to the Lead Document Controller and will work closely with the Project Managers, Project Engineers, and Drafters, and is responsible for all internal and external client document management activities.

Job Responsibilities:

  • Managing the lifecycle of documentation and ensuring all project documentation meets Lanmark requirements.

  • The point of contact for Lanmark for all external Document Control groups, including contractors and vendors.

  • Creating and maintaining Document Control related work aids, procedures, and checklists for all phases (including Engineering, Fabrication, Construction, Commissioning and Startup and Project Close Out) of Lanmark projects.

  • Ensuring adherence to all Document Control standards and processes through informal checking of document control outputs (transmittals, metadata, distribution & completed request forms).

  • Performing Master Document Register(s) reconciliation to ensure data consistency between repositories (internal and external) compliance with project requirements.

  • Managing project recordkeeping and correspondence functions including weekly reports, monthly reports, submittals, RFI’s, change documents, meeting minutes, drawings, specifications, approvals, templates, and any project related items.

  • Making sure that controlled copies of the latest approved documents and drawings are distributed.

  • Ensuring proper coding of all documents and drawings.

  • Executing project close-out activities for all turnovers.

  • Scanning and printing documents as required.

Qualifications:

  • Graduate of a college with a certificate in Information Management and Records or equivalent.

  • Strong computer skills in Microsoft Windows, Word, Excel, Outlook and Bluebeam.

  • Excellent written and oral communication skills.

  • Strong organizational skills and a demonstrated ability to meet deadlines, multitask, and work in a high paced team environment.

  • Strong interpersonal skills combined with a positive, team-oriented attitude.
